Handed in the access card on Friday. Or did they?

It’s Friday afternoon. It’s an employee’s last day at the company.

The laptop has been handed in. The keys have been returned. The necessary paperwork is done.

Only one question remains:

“Where is the access card?”

“It must be around here somewhere…”

At first it seems like a minor detail. We’re talking about a plastic card. In reality, however, that card may be the key to the office, the warehouse, a production area or another restricted space.

And from that moment on, the question is a completely different one:

What happens if the card ends up in the wrong hands?

It’s not about the card – it’s about the access rights.

One of the key advantages of a modern access control system is that access is not tied solely to the physical credential.

If a card is lost, or an employee’s access needs to be revoked, that credential can be disabled in the system.

This means a lost card no longer automatically provides a working way in.

That is a huge difference compared to a traditional key. A lost key may mean the locks have to be changed. With a properly managed electronic access control system, however, access rights can simply be managed.

Who can enter, when and where?

But the real value of access control systems goes far beyond this.

In a larger company or industrial facility, not every employee necessarily needs access to every area.

An office worker, a maintenance technician, a manager, an external partner or, for example, the cleaning staff may each need different access rights.

In a well-designed system, you can define for each person:

Visitors or external contractors can even be given time-limited access.

When someone leaves the company

Let’s return to our story.

The employee’s last day is over, but the access card has not turned up.

With a properly designed process, there is no need to wait for days in the hope that it will reappear.

The access can be revoked.

That is why access control is not just a technology issue. A proper process for managing access rights is just as important.

When someone joins the organisation, they receive the access rights they need for their work. If their role changes, these can be adjusted. And when they leave, their access can be withdrawn.

An access control system proves its value when things don’t go according to plan.

As long as everything runs smoothly, it’s easy to see an access control system as just a convenient way of opening doors.

But it is much more than that.

A card gets lost. Someone’s access rights change. An external contractor arrives for a few days. A certain room may only be used by specific employees.

These are the situations in which it really matters who can enter, when and where – and that these access rights can be properly managed.
